 Information held and how long information is kept for

·       Emails – sent from clients are kept on rolling correspondence. 

·       Declaration and Info forms from parents of students  - name, contact details and health information for safeguarding and class management are held whilst still attending a club and up to 2 years after for finance reasons.

·       Attendance registers – data collected from declaration forms for safeguarding and class management are held whilst still attending a club and up to 2 years after for finance reasons.

·       Payment data received via accounting and banking systems are saved for at least three years for accounting and tax obligations. 

·       Except where required by law, we do not share data with third parties or sell contact lists.

·       Information held by Fit Kids is accessed by Sue Charles (director) and only the freelance instructor whose club it is – and or/ cover teacher. A cover teacher does not keep a copy of the cover register – it is given back to director on same day. Or if sent via email it is disposed of securely after attendance info is passed on to instructor.

Photos are only used for allowing parents of attendees to see what their child gets up to and is shared on our Fit ids Facebook page from time to time. Photos may also occasionally be used for a marketing flyer and only used with parental permission.
